Getting started guide

Last updated: 28 Aug 2026

Welcome. This page walks you from first login to first result — in the order we recommend, with a live simulation of each part running in front of you as you read.

Read it once (ten minutes), then come back to whichever section you need when you need it.

Your first thirty minutes

Three steps are enough to actually start. Do not postpone them to prepare "everything" — the system fills up with work, not with configuration.

  1. Set your pipeline stages from Settings → Pipelines. Start with five stages, no more, and name each after an event the buyer performs (agreed to a meeting · asked for a proposal · replied with a change) — not after what you did.
  2. Add your team from Settings → Users and give each a role. Permissions follow the role, so there is no need to set them one by one.
  3. Enter five real deals — not sample data. Five live deals teach you more than fifty invented ones.

Running deals day to day

A deal moves between stages by dragging, and the counters and stage values follow. Each move can trigger something: a task opens, a manager is notified, or fields are required before the move is allowed.

Two lessons from experience:

  • Do not create a stage called "Following up". Everything that does not obviously belong somewhere will land there until it is half your pipeline.
  • Every deal must have an upcoming task with a date. A deal with no upcoming task is, by definition, a forgotten deal.

Inbound and prospecting

Ask in plain language for the kind of customers you want, and results are filtered into a qualified list — with no purchased lists and no spreadsheet imports.

Every channel you connect (your website form, WhatsApp, email) flows into the same place, and each customer's source is stored with them so you later know which channel produced contracts.

Tender radar

If you work with government bodies, enable the radar from Add-ons. It scans published tenders and shows you what fits your activity — with a reasoned verdict, not a keyword match — and converts what fits into a deal in one click.

Automation: write it in plain language

You do not need to draw a diagram. Write what you want in a sentence, and Hibab draws it as a path built from your system's real triggers; you review it, save it, and it runs in the background.

  3. Hibab: “Stalled after the technical presentation — pricing hasn't reached finance yet”
  4. Notified the deal owner on WhatsApp — in their language
  5. Opened a follow-up call task for tomorrow 09:00

Start with one: "Any deal silent for a week above a certain value — notify its owner and open a follow-up task." Run it for a month and read its effect before building the second.

After signature

The system does not stop at the sale. A contract is created with its start and end dates, a handover task opens, and a renewal task opens automatically a period before expiry that you define.

Where to get help

  • Inside the system: the help icon at the top of the screen has guided tours that walk you through, step by step, on the screen itself.
  • By email: hello@effistar.sa — we reply within one business day.
  • Setup with us: we configure your pipelines, stages, and first automation with you in a single session. Request it by replying to your subscription email.

Three mistakes everyone makes in week one

  1. Long configuration before the first deal. Start with five stages and five deals, then adjust after a week based on what you actually needed.
  2. Too many required fields. Every field you require but never use in a report will be filled with anything, corrupting your data from day one.
  3. Adding the team late. Add them on day one even if they are not using it yet — a system used by one person never becomes the organization's system.
